How do I set up a scheduling calendar for others?
I am trying to set up a scheduling calendar for volunteers who patrol two city parks where I live. They will simply enter their name, what time they plan to patrol and whether they need a partner (they must patrol in pairs). Then they will choose one of two Custom Categories (biking or walking), select the time and date, and add it to the calendar.

I already have one Personal Premium package, and was planning to set up another one. But I am having two problems which perhaps someone can help me with.

1. The Police do not want this calendar to be accessible by the public, for obvious security reasons—they don’t want possible criminals to know when folks will or will not be patrolling. I see that I can set up Sharing, and allow access only by specific members, which seems like the correct approach. However, it seems like the only Permission I can give those members is ‘View Only’ which would not allow them to schedule. How do I allow them to do their own scheduling?

2. Because many of these folks will only schedule a few times, I think it is unrealistic to make them learn everything about Localendar. In addition to publishing a ‘cheat sheet’, I was thinking about setting up a ‘master’ event using the Table format, so all they would have to do would be fill in the blanks, choose the appropriate custom category, select the time and date, and then ‘Save as Copy’, and perhaps Preview. What I do NOT want is for them to be able to select Update or Delete, because them my ‘master’ would disappear. Is there code I can add somewhere that will prevent those two buttons from functioning?

We are about to release a new scheduling upgrade for localendar. The enhancement itself is ready, but we are wrapping up some example docs, videos, etc.

We'd love to onboard you as a beta-tester to give us feedback.

I've enabled a preview of scheduling through Oct 1.
You should now have a Scheduling tab under Options.

This feature will also enable some other options across localendar, not just on this page. So you will need some docs to make the most of it. Those are still in progress, but I know you are good at poking around for yourself, too smile

For example, with this upgrade you can now set default durations for custom categories.

You can also flag events on the Event Editor as "Availability" events for a category (or General). If you add an Availability event, it doesn't show on your public calendar, but it controls when events can be scheduled (category General controls everything)

Availability events are great if you have a business or facility only operating during certain hours. For example: If you were a Library allowing people to reserve conference rooms, you probably wouldn't people booking them at 3am wink

I'll post links to the docs/videos as soon as they are ready.

Thanks for enabling this for me. Unfortunately, I don't want to do this testing on OPwebmaster which is where you put it, since my plan, if it does what I need, is to set up a separate Localendar just for that purpose, so I can limit the users.

So you can either put the testing option on the current free Localendar I use for testing, or I can open up a new one for evaluating this. I am thinking that opening a new Localendar might be best, but let me know which would be your preference.

That will be great because I can't find too much there now.

It is not clear to me from the current info on your site what level/Premium Plan of Localendar is required to use the scheduling feature that you are letting me preview, and if this feature is included in that level, or if it is an extra cost on top of it.

I moved my discussion about Scheduling to 'Seeking brave beta testers for our Scheduling Upgrade', which I thought was more appropriate for my testing of that add on.

I need some more help on the 'Sharing" feature, which I have access to since I have a Premium Personal account.

Because the volunteer account I am setting up needs to have limited access, I was planning to use the Sharing feature, and select 'Allow access only to specific members (listed below). That would solve my security needs.

But the only Permission listed is 'View Only'. I want to give these folks permission to add events, edit events, etc.

How do I do that?

To achieve what you want, one option is to create another calendar that your team can add/edit events on, and then merge that calendar onto yours.

But if I do that, then the 2nd calendar is readable by anyone, which is what I am trying to get around.

And merging by me puts another delay in the process, since I am not at my computer 24 hours a day {although you may think so by the amount I post on this forum}. Rather than a second calendar, I could just have them Email the info to me, and I would do all the posting. But that still has the delay factor.

So what is required to make the shares read and write?

The merging is automatic; you wouldn't need to do anything.
I assume you would share the login for that 2nd calendar with only a few people. It would be visible to anyone (assuming they knew about it)

The only item you need to do for getting read/write access is wait (since we've been busy with the scheduling stuff) tongue
