OFFICIAL MINUTES FROM HACK MEETING

Sunday, December 16, 2007

PRESIDING: Nicole Strine, HACK President & Treasurer

It's pretty much all about NYE, except that there is a joust and I need someone to put it on the hack calendar with contact info, date, time place, etc please AND Baton Rouge Mardi Gras Night Parade will take place Friday night, Feb 1. More info about that will go out after the New Year.

Remember, if you are AT the meeting you get to vote on the issues. Ok, here we go:

HACK NYE 2007:

Music provided by Big Al Bettis and Friends. Big Al will coordinate the whole night of music - THANK YOU SO MUCH FOR THIS!! In return, HACK will provide nominal beers and non-alcoholic beverages. We won't actually be giving a lot, and they know this, but they'll bring what they need as well. And again, thank them for playing for us that night. Get ready to ROCK. This is going to be WONDERFUL!

Something new, and I'm going to put it out there right at the top of the email so everyone is on the same page. If you are a HACK member, which means you come to meetings, you come to events with your car, you play with us on a regular basis, make appearances with your car, set up for events, participate in events like World Art Car Day, St. Jack's Day, Illuminated Cruises, Art Car Balls, you bring your car out to Trader's Village (the event that funds all our other events thru the year), then you know how NYE works. It's a "bring your own everything you need to have a good time, and maybe something for the pot luck food room, and maybe something more to share". Come and visit and play and ring in the New Year with your friends. Because you have done all these things, participated in these events, our treasury funds NYE's porta cans, generators, the lighting for parking lot, the "security" people who walk around and make sure the rest of the neighborhood stays out and that your cars are "safe" while in the grassy parking lot, and the clean up fee for using Kennywood. Ken still pays a lot of money after this nominal fee is paid to him. We don't even pay him for the space that night. This year we are anticipating a larger crowd. We have more friends we like to bring with us every year and this year's band might draw a larger crowd, one that is full of cool people cuz they are following cool musicians around. It was decided (voted on) tonight that there will be a PayPal account set up for NON-HACK MEMBERS to DONATE to IF they want to help defray the costs of a party that is growing bigger every year. It will be on the HACK site. It will go straight into Ken Crimmins bank account and will be monitored by ME and REBECCA BASS as a check and balance system. This protects Ken and gives everyone else comfort knowing that no one makes money off this event. No one will make money off this event. The band is even playing for free. We all pitch in, we bring food or we help set up, we blow propane or shoot firecrackers off our heads. Many of us use a lot of our own money to participate and share what we do best during this event. And we like to do this because we are awesome people, and because we can. Ken already gets a clean up fee. We want to be ready to pay for extra porta cans if needed, and if no one can donate a 4000 watt light for the parking area, we'll need to rent one of those as well. Generators cost money to run. Electricity is not free. Jim Settles will have his Fire Organ playing in the center room this year - this way the band and the organ won't compete for sound. Firecrackers and propane cost money. When the Klub can give a bit back to those people that provide these things, it does, thru the treasurer, me. None of this is new. What is new is that there will probably be a larger crowd, so if you are bringing a friend and they would like to DONATE some money for coming to, and enjoying our, party, there will be a PayPal link that will let them do so. NO HACK MEMBER IS EXPECTED OR ASKED TO DONATE TO THIS FUND. And even your friends don't have to donate, but some of them ask how they can help, even after they bring something to share, cuz let's face it, this is not only the BEST party in town on NYE, it's also the cheapest. So, there you have it. I will send out an email when the link is set up.

Moving on:

This year Smitty and crew will be doing their usual puppet show, about 1030p.

Jim Settles will have his fire organ in the center room, where the bowling happens.

Ben's jeep and propane blowing will be in the center room, for illumination visuals.

The dance floor below the band's stage will be for dancing, the puppet show and the traditional Dance of the Firecracker Hats.

The music will start early, the party will start at 8pm.

Illuminated art cars inside the fence by the loading dock.

Regular cars in the grassy area.

THERE WILL BE NO SHOOTING OF FIRE FROM DRAKKA AT THIS EVENT. The noise brings the police and there is a complaint being waged against Kennywood right now already so we aren't going to push it. BESIDES THE COMPLAINTS THAT WE DON'T WANT TO DEAL WITH, THAT AREA WILL BE FULL OF ILLUMINATED ART CARS AND SHOOTING FIRE AS FAR AS DRAKKA CAN SHOOT IT WOULD BE DANGEROUS. This was voted on and I thank you for your understanding... and for not destroying any of the many cars that will be parked in that same area. ;)

You just got an email from Bryan about TVs. We do need them, can never have enough, please just drop them off at 515 Emile. There is a map link on the hack site, just click on the address and it will take you there.

Bowling for TV's will start at 2am.

******I NEED SOMEONE TO PICK UP $$ FROM ME, COORDINATE WITH KEN CRIMMINS ABOUT USING A TROUGH FOR ICE AND THE BAND'S BEVERAGES, PICK UP THEIR BEVERAGES AND ICE AND GET THEM ALL SET UP. EARLY. ARRIVING WITH THE ICE AND BEVS AT 8P. MAYBE 2 OR 3 OF YOU CAN VOLUNTEER TO TAKE THIS TASK ON. THIS IS VERY IMPORTANT, SOMEONE PLEASE STEP UP AND DO THIS. Big Al has already told me what they'd like so I just need some help. I know this is a big job. The band is so generous to offer their services and this is the only way we can repay them. I really can't be stuck taking care of this with all the other things I need to do for the event. Contact me asap to let me know you'll help out with this and thank you SO much in advance.*******

The food room - per Ken, it's pretty set up and ready for use from last year. Bryan will be asking if Gina and/or Coney would like to take this on. I think lighting needs to be addressed. Please contact him with questions at santaclauscar@yahoo.com

Set up days will be Sunday, the 30th, from noon till 5p, and Monday, the 31st from 9a-5p. This is grunt work, lugging wood into barrels that will provide fire that night, the doors to the silo will be closed. Entrance will be thru one door from the grassy parking lot outside, you cross the RR tracks and follow the signs and lighting path to that one door, into the center room, and it all needs to be labeled and set up... There are many other things to tackle as well. Please come out and help if you can.

Video will be shot at the event this year, of the bands and of us, but nothing illegal will be recorded. Just giving you a head's up that video shooting of the bands and other visuals will be happening.

If you have silly, funny, odd, old timey movies, Ken would like to have them playing on the TVs that make up the bowling alley lane. Please contact him at kfjc@aol.com

NO DRIVING DRUNK. YOU ARE RESPONSIBLE FOR THE FRIENDS YOU BRING. DO NOT DRIVE DRUNK.

Having just written that..... Shooters Bar - there will be a nice slab of Corian set up with shot glasses. You are encouraged to bring a bottle of tequila, vodka, whatever, to share at that bar. There was mention of black light, so think of a beverage that glows under black light, maybe Red Bull, to go along with those shots.

Camping is allowed and encouraged that night. Bring everything you'll need if you want to camp at Kennywood that night.

If you would like to set up and sell your art or wares at this event, vending was discussed. If there's enough interest, Ken will take care of setting this up. Contact him at kfjc@aol.com to let him know if this is something you'd like to do.

There was discussion by Terry about a food vendor, but he needs to be licensed, or whatever that is called, or that would be trouble. If he is, he might be there selling bar -b-que, but remember, there's always the food room too.

Aluminum containers are encouraged over glass containers.

Wow, I think that's it. Woohoooooo - here comes 2008!
:)
